ENCOUNTER / ORGANISATION

Clear speech, visible presentations and well-planned spaces help guests follow your programme and engage with your team. We define the setup from your brief, the venue and each contributor’s responsibilities, rather than adding equipment without a clear purpose.

01

Sound and screens that make your content clear

A panel discussion, product demonstration and video presentation need different setups. We consider microphones, audience position, screen visibility and content formats. Presentations and videos should be collected in advance so compatibility and playback can be checked before guests arrive.

02

Lighting, staging and furniture with a practical role

The stage should suit the speakers and planned transitions. Lighting supports visibility and atmosphere; furniture supports reception, meetings and demonstrations. Layout decisions take account of circulation and venue requirements, keeping installations consistent with the intended use of the space.

03

A coordinated plan for the venue and suppliers

Equipment choices depend on power supply, delivery access, installation hours and existing systems. Point Expo coordinates these details with the relevant contributors within the agreed scope. Venue approvals, specialist responsibilities and services retained by your team should be identified before production starts.

Choose your scope

Equipment rental or wider production support?

Equipment for a defined requirement

If your programme and specification are established, share the equipment list and installation requirements. Our event equipment rental service explains the information needed to assess quantities, availability and delivery.

Technical services within an event

If the programme and layout still need development, technical planning can complement our event agency services. At a trade show, coordination can also support your exhibition stand.

Preparation

From the programme to the installation schedule

01

Review the programme

Identify the audience, presentations, demonstrations and timings. Separate essential needs from optional additions.

02

Check the venue

Review access, dimensions, connections and existing equipment with the site contact before finalising the setup.

03

Allocate responsibilities

Define supply, installation, operation, tests and dismantling in the proposal so each contributor understands their scope.

04

Prepare the live sequence

Agree the installation schedule and technical checks. Operator presence and rehearsal time are included where specified.

Your quotation

What determines the cost of technical services?

The number of rooms, operating time, equipment specification, installation conditions and required crew affect the quote. A system used across several programme sequences may require different staffing from equipment delivered for a static display.

Send a brief we can assess

Include venue, dates, audience size, programme, floor plan, content formats and known equipment requirements. State what the venue provides and whether you need installation, live operation or collection. Add a target budget to help prioritise the proposal.

Planning questions

Before booking technical services

Can venue equipment be used?+

It can be considered after checking its specifications, condition and availability with the venue. Compatibility depends on the required connections and intended use.

Are technicians included automatically?+

The quotation identifies whether staff are required for installation, tests, live operation or dismantling, and for which hours. Do not assume the same staffing scope for every rental.

Can I request support before the programme is final?+

Yes. Share available information and list open decisions. Initial recommendations can be refined when the venue, programme and technical requirements are confirmed.
